HomeMy WebLinkAboutItem 04 SirsiDynix ContractAGENDA ITEM SUMMARY Meeting Date: 2/6/2012 Meeting Type:Regular Meeting Staff Contact/Dept.: Rob Everett/Library Staff Phone No: 541-726-3756 Estimated Time: Consent Calendar S P R I N G F I E L D C I T Y C O U N C I L Council Goals: Financially Responsible and Stable Government Services ITEM TITLE: SIRSIDYNIX CONTRACT ACTION REQUESTED: Approve an amended multi-year (7) service agreement with SirsiDynix the Library’s automated library system (ALS) vendor. ISSUE STATEMENT: For the past 13 years the Springfield Library has utilized the SirsiDynix automated library system to support virtually all library services from circulation to patron card registration. SirsiDynix is one of the top three automated library system vendors in the country and has recently purchased one of their main competitors. Our system is also utilized by six other public libraries in Lane County. They share in the costs associated with its use. In recent years the Library has seen significant increases in each renewal of their annual service agreement with SirsiDynix. We entered into discussions with them in order to try to minimize and stabilize these increases. They offered a 7-year service agreement that achieves both of those ends. ATTACHMENTS: Attachment 1 – SirsiDynix First Amendment DISCUSSION/ FINANCIAL IMPACT: The SirsiDynix renewal is a seven year agreement for our automated library software system that minimizes and caps the increase on the annual maintenance. For years 1 & 2 no increase is assessed, for years 3-7 a modest 3% is assessed year over year. Our total increase over seven years is $3910. This results in a seven year savings of $14,998 when comparing the seventh year out of a proposed 3- year agreement (with no cap on years 4-7; $37,902) and the last year of the 7-year bundle ($28,461). The difference in the total value of each of these approaches over 7 years is $38,601 This seven year renewal will not only benefit the City of Springfield Library but the six other libraries that we host. Not only will the City of Springfield save mone, but our library partners will also enjoy a lower cost of doing business with Sirsi.
