Subdivision Plat Pre-Submittal
Dear Andy,
In response to the Tentative Subdivision Staff Report and Decision (Case #811-20-000168-TYP2) from
November 2020, and subsequent pre-submittal comments from December 2022 and June 2023, the
following outline is the applicant’s current understanding of the status of the project.
1. Finalizing the Subdivision Plat.
A. Subdivision Plat.
Materials to be included with the Subdivision Plat Application Submittal and their current status.
1. Two (2) Copies of the Deed.
• Deeds have been previously submitted and are on file with the city. Copies will be re-
submitted with the Subdivision Plat Application.
2. Two (2) Copies of a Title Report.
• Title reports have been previously submitted and are on file with the city. Updated Title
Reports (less than 30 days old at time of submittal) will be submitted with the Subdivision
Plat Application.
3. Plat – Original and Copy.
• The Plat has been previously submitted and is on hand with city staff. It has been
approved but is awaiting signatures and recording until the PIP bond is received.
4. Easements – Original and Copy.
• There are five new easements. Easement language has been previously approved by
the city. All five have original signatures. An original and a copy of each will be
submitted with the Subdivision Plat Application.
B. Public Improvement Project (PIP) – #P31067.
Materials to be submitted before the above Plat signed and recorded.
1. ODOT Approach Permit.
• A letter of Conditional Approval has been received and will be submitted with the
Subdivision Plat Application.
2. Bond.
• An updated cost estimate was reviewed and approved by the city on July 13, 2023. Bond
forms are with the applicant. Completed forms will be submitted with the Subdivision Plat
Application.
2. Finalizing the PIP.
Materials remaining to be submitted before the PIP Permit Agreement can be issued include the
following.
A. According to email message from Clayton McEachern, April 19, 2023.
1. Signed PIP Agreement – submitted 7/28/22.
2. Engineer’s Estimate of Cost – submitted 7/28/22.
3. Project Deposits – Plan Exam deposit paid 10/20/21 – Construction deposit still required.

4. Contractors Insurance – To be submitted.
5. Engineer’s Insurance – To be submitted.
6. PIP Plans – Plans are ready for Engineer’s signature, waiting for other items to be finalized.
7. Financial Security (Bond) – To be submitted.
8. Hold Harmless Agreement – To be submitted.
9. Traffic Control Plan – PE stamped the Traffic Control Plan, to be submitted.
