HomeMy WebLinkAboutItem 04 Microsoft Enterprise Agreement Renewal AGENDA ITEM SUMMARY Meeting Date: 9/3/2019 Meeting Type: Regular Meeting Staff Contact/Dept.: Brandt Melick/IT Staff Phone No: 541-726-4645 Estimated Time: Consent Calendar S P R I N G F I E L D C I T Y C O U N C I L Council Goals: Financially Responsible and Stable Government Services ITEM TITLE: MICROSOFT ENTERPRISE AGREEMENT RENEWAL ACTION REQUESTED: Authorize the City Manager to sign Enterprise Enrollment Contract with Microsoft Corporation for $115,126.30 ($345,387.90 for three years) and execute all documents required to effect the transaction. ISSUE STATEMENT: The City’s goal is to provide financially responsible and innovative government services in the most efficient manner possible. In order to support this goal the Information Technology (IT) Department purchases software licensing for Microsoft Windows and Microsoft Office under an Enterprise Agreement that is renewed every three years. ATTACHMENTS: (1) Microsoft Enterprise Agreement Enrollment Form DISCUSSION/ FINANCIAL IMPACT: In the FY 2019-2020 (FY20) base budget, the City of Springfield allocated $100,000 for the annual renewal of this agreement. This allows for the continued use and upgrade rights of the Microsoft Windows operating system, as well as access to Microsoft’s Office 365 suite for all City staff. The approximate $15,000 increase in cost over the budgeted amount represents both a cost increase from Microsoft, as well as a change in license calculation based on the multiple devices and platforms from which staff access City data. This change in licensing model supports a rapid growth in mobile devices across the organization and brings new functionality and products from Microsoft. This new model supports access with phone, tablet, laptops and multiple PCs, enhances communication between City staff, partner agencies, outside contractors, and citizens and further supports continual movement toward a more mobile workforce. Springfield Staff recommends Council approve City Manager to execute contract.
