L1MBIRD Andrew From: L1MBIRD Andrew Sent: Thursday, May 17, 2007831 AM To: GRILE Bill Cc: KNAPEL Carole, DONOVAN James, MOTT Gregory Subject: RE Memo In Support of B Street Closure Bill I'm not sure what the Issue IS here - obtaining a supporting memo from the Police Department IS what we discussed at our meeting on May 9 (I have it In my meeting notes) It was my understanding that Carole was to make the request of the Police Dept , and was among those sent a copy of the memo directly from Mike Harman I forwarded the memo from Chief Smith to you as Information (per your prevIous request on Justice Center Items) Regarding the issue of filing an "application", at our meeting we also discussed the Council Initiation of the street vacation and preparation of materials to start a Planning case for the vacation Because we are running under fairly tight tlmellnes to prepare the packet for Planning Commission early (Mott's request), and the fact that public hearing notification will be In the paper tomorrow, there needs to be some supporting documentation prepared in case a citizen requests to see the "application" City staff would consider this a "Planning Action" for purposes of creating a file, not an application per se However, I did request a signature from Chief Smith on an application form to cover our bases - thiS IS no different than the prevIous alley vacation When the vacation action was Initiated by City Council, staff essentially had to create a file from scratch To faCIlitate the vacation, the City needs to have the appropriate supporting materials such as a legal description (done), maps (done), and other information that are required for Internal and external notification purposes. We also need supporting information for the PC report (already drafted) to meet the tlmellnes previously agreed to by the Project Team It was my understanding from our meeting last week that Planning would be presenting the staff report on thiS vacation request, and that the Police Department would be the "applicant" testifying at the Public Hearing Based on our diSCUSSions and what has been done to advance the vacation request over the last week, I believe we're stili on the same page - unless I'm missing something If so, please let me know and we will take the necessary action I am still prepared to meet on Monday afternoon to discuss thiS Issue further With you, Carole, Jim and Greg Thanks Andy r ~~-:;::;-":C~A~":"-~';;:"~-'C~'--~ ~---~~--~- -:..~~~~::::::~--^::--,,;:~---;:--- --:..-':..-~-::~::- ~--~;:-- ;:-:'--;:--~:::--- --~-- -------::.-~~^~~------:--=:-~-- From: GRILE Bill Sent: Wednesday, May 161 20076:41 PM To: UMBIRD Andrew Cc: MOTT Gregory; DONOVAN James; KNAPEL Carole; MARX Sandra Subject: FW: Memo in Support of B Street Closure Please bring Carole up to complete speed on where this IS at as she didn't even know an application had been filed, nor did I.
