HomeMy WebLinkAboutItem 04 World Junior Championships Welcoming Event in Springfield AGENDA ITEM SUMMARY Meeting Date: 1/13/2014 Meeting Type: Work Session Staff Contact/Dept.: Gino Grimaldi/CMO Staff Phone No: 541-726-3700 Estimated Time: 15 minutes S P R I N G F I E L D C I T Y C O U N C I L Council Goals: Promote and Enhance our Hometown Feel while Focusing on Livability and Environmental Quality ITEM TITLE: WORLD JUNIOR CHAMPIONSHIPS WELCOMING EVENT IN SPRINGFIELD ACTION REQUESTED: Approve the use of $7,500 of Room Tax Funds in FY15 to host a welcoming event and concert for 1,500 track athletes from around the world. The event would be open to the public and would take place on July 21, 2014 in Island Park. The total cost of the event is projected to be $15,000. The Willamalane Park and Recreation District would also contribute $7,500 towards the event. ISSUE STATEMENT: The use of discretionary Room Tax Funds is typically done with the approval of the Mayor and City Council either through a formal allocation process or adoption of the annual budget. Due to the timing of the proposed event, staff is seeking City Council approval prior to a formal allocation process or adoption of the annual budget. A comprehensive discussion of the allocation of room tax funds is scheduled for February 24, 2014. ATTACHMENTS: Attachment 1: Draft Proposed Springfield Welcoming Event Budget DISCUSSION/ FINANCIAL IMPACT: An estimated 1,800 junior athletes, representing as many as 212 countries from around the world, will arrive at Hayward Field for six days of competition from July 22-27. The athletes that participate in this event are under the age of 20 and it is the first time that event will be held in the U.S. The 2012 event was held in Barcelona, Spain. In the world of track and field, the World Junior Championships is known as a coming out party for athletes who become the sport’s biggest stars. The proposed event is intended to show athletes, coaches and fans from around the world what our community has to offer as well as provide an opportunity for our community to meet people from other countries. Hosting international events such as this helps build momentum for future track and field events that bring additional visitors and tourists to the area improving the economy and increasing room tax revenue in the future. Many details regarding the event will need to be developed. Attachment 1 for your information is a draft proposed budget. Annual discretionary room tax revenue can vary dramatically but now is approximately $200,000. At this time, the room tax fund has $333,431 in reserves.
